Brand Voice Rules

A rules file that keeps everything AI writes on-brand: tone, banned words, formatting and examples to follow.

What it does

A file you give any AI assistant before it writes for you: who you talk to, how you sound, words you never use, claims you cannot make, and good and bad examples. Emails, posts and pages end up sounding like you, not like a robot.

When to use it

Steps

  1. Describe your customer and how you address them (formal or casual).
  2. List banned words and phrases, with replacements.
  3. Write down what you never claim: unsourced numbers, testimonials, public prices.
  4. Set the format: paragraph length, emojis, caps, signature.
  5. Add 3 good and 3 bad examples.
  6. Have the assistant check its draft against the file before delivering.

# Brand Voice Rules

## How to use this file
Before writing anything for the brand, read these rules. When done, check your draft point by point against "Final check". If a rule conflicts with the user's request, ask.

## 1. Who we talk to
- Customer: [describe: industry, size, country, what worries them].
- Register: [formal / casual]. Languages: [English / Spanish / both].

## 2. How we sound
- [3 adjectives, e.g. direct, warm, expert without bragging].
- Short sentences. Answer first, detail second.
- Explain it like you would to a busy business owner, no needless jargon.

## 3. Words and phrases
| Never | Better |
|---|---|
| "revolutionary", "disruptive" | say what it does, concretely |
| "end-to-end solutions" | name the service |
| [a phrase your brand banned] | "AI assistants", "automations", "AI receptionist" |
[add the brand's own]

## 4. What we never claim
- Numbers, percentages or results without a source the owner confirmed.
- Testimonials, client logos or user counts that do not exist or are not authorized.
- Prices in public material, unless the owner says so.
- Awards, certifications or rankings the brand does not hold.

## 5. Format
- Paragraphs of 1 to 3 lines. Lists when there are steps.
- Emojis: [never / one max].
- No ALL CAPS shouting. No strings of exclamation marks.
- Signature: [name and title].

## 6. Examples
- Good: [paste 3 real pieces the owner likes].
- Bad: [paste 3 pieces that must not be repeated, and why].

## Final check (before delivering)
- [ ] No word from the "Never" column.
- [ ] No number, testimonial or price that did not come from the owner.
- [ ] Correct tone and register.
- [ ] Readable at a glance on a phone.
